A Guide to Event Management

The Event Kit provides detailed information on all the components of planning and implementing sports event of a local, regional, provincial and national level.  These modules can assist a volunteer or staff operation through all phases of the event management and execution and are designed to allow readers to choose which elements of planning need to be addressed depending on the size and scope of each event.  With a detailed timeline supported by specific samples and reliable systems, sport event planning just became a whole lot easier.

The Accommodation Module will offer guidance in planning housing arrangements for visiting athletes.  Whether it is Homestay program, Athletes Village Dormitory or Hotel connections, this module will provide detailed tasks and timelines on each of these areas with the overall goal of ensuring safe and secure accommodation for all participants.

The Administration Module offers insight to the procedures behind the scenes such as governance, meeting management, financial management and financial / legal considerations.   Regardless of the size and scope of the event, administration needs to be given a prominent role throughout the planning and implementation stages.  

The Ceremonies Module combines the creative and logistic details required to stage an Opening or Closing Ceremony for your event.  The process of marshalling athletes, hosting dignitaries and implementing a stage show are all covered within this module. 

The Cultural Events Module offers guidance on how to incorporate activities, beyond the sport competition, to the event to enhance the overall community celebration.  Details on presenting a stage show of ongoing cultural performances for the general public as well as ensuring the cultural and social activities are available to all participants outside of their competition are all included within this module.
The Food Services Module provides detailed timelines on how to provide scheduled meal service for all participants as well as the process for producing and delivering box lunches to all participants.
The Hospitality Module offers procedures to successfully invite and welcome dignitaries and VIP’s to the event and all special functions.
The Marketing and Communications module will provide insight on systems to promote the event to a variety of audiences to achieve public awareness and education and to generate revenue opportunities through merchandising opportunities.  
The Medal Presentations and Award Ceremonies Module will offer details on how to organize and stage the Medal Presentations and Award Ceremonies for the event with consideration to logistics, protocols, policies and procedures.   
Medical Services is fundamental to ensuring the well being of all participants and spectators and, from a liability standpoint, providing Medical support services during an event is mandatory.  This module provides the tasks and timelines on how to provide medical care for all participants.
The Security Module provides detailed procedures on ensuring a safe environment for all participants during the event as well as a secure environment for all sports equipment and facilities.
The Spectator Services Module will provide sport event managers with the systems required to engage the general public.  Information Centre, Ticket Sales, and Concession Sales are all key points of contact between the community and the event; and can enhance the implementation of the event within the community.
The Sponsorship and Fundraising Module provides detailed systems and procedures that are required to implement a successful revenue generation stream to your event.  Information on how to recruit and service sponsors as well as how to stage fundraising events are all included in this module.

The Sport Services Module provides a detailed description on how to prepare the venue for the competition with respect to equipment, facility and support services and will also provide details on participant registration and event results.

The Transportation Module offers a system to provide safe, efficient transportation systems for all participants during the competition.  These systems include a community-wide Shuttle Bus system as well as procedures for implementing a Courtesy Car service.
The Volunteer Management Module walks through the key components of incorporating volunteers into meaningful roles within the event.  Policies and procedures with respect to Recruitment, Screening, Training, Support, and Recognition are reviewed within this module.
